Transport
Delivery tracing from order creation to delivery.
- The financial software automatically generates the order and stores it in DocuWare.
- DocuWare checks the finance database and monitors any status changes in the finance system to assign documents to DocuWare lists.
- DocuWare automatically stores the delivery confirmation or photograph in a secure repository.
- Use case: It allows people who use DocuWare but who do not necessarily use finance software to track the status of a delivery.
- Order created and sent to DocuWare-automatic database lookups-Delivered.
Hotel
Check-out procedure.
- Every time a customer checks out of a hotel, the agent will automatically receive an email with an invoice (Booking.com, Hotels.com, etc.).
Leasing Company
Contract management.
- Lease agreements are emailed to clients or agents for electronic signatures. After that, they are returned with an audit trail and business intelligence.
Car Dealer
Vehicle job card.
- Client updates via email: parts received, car completed and ready for collection.
Bank
Bank clerk/teller.
- When opening a new account, the personal documents of each customer are scanned and saved in a secure location, using their unique ID number.
Waste Management
Toolbox talks.
- When an employee finishes a training course, they electronically sign a form that is kept in a safe DocuWare repository.
Sales
Quotation proposal.
- The quotation requests are received via email and are automatically stored in DocuWare, with the appropriate salesperson being assigned the task of “providing proposal”.
- The system sends notifications to the salesperson, which are all tracked by the system.
- Proposals are distributed using DocuWare’s workflow manager, which keeps an audit trail and ensures compliance with regulations.
- The system notifies the salesperson and sends appropriate documentation to both parties for digital and legally binding signatures. On decision, the system sends both parties essential documents for digital, legally binding signatures. If the sale falls through, the system will issue a task alert to close the contract and delete the client’s data.
Education
Storing student records.
- Absences, personal information, grades, and disciplinary actions, among others, are all kept in a secure repository with a retention policy.
